Client terms and rate cards: stop off-terms placements

Every client has terms: fee percentages, payment days, rebate scales and agreed rates. When placements drift from those terms, you lose money or face disputes.

Keep every agreement in one place

Store each client’s agreement, fee percentage, payment terms, rebate scale and expiry date where consultants can see them. If terms live in a filing cabinet, they will not be followed.

Agree rate cards by role

For temp and contract work, agree pay and charge ranges by role. A rate card gives consultants clear guidance and gives clients confidence in consistent pricing.

Check placements against terms

Compare every placement with the client’s terms. Fees below the agreed percentage, rates outside the card or placements after an agreement expired should be flagged immediately.

Watch expiry dates

Agreements expire. Renew them before they lapse so you are never placing on unsigned or outdated terms.

Common problems

  • Terms agreed by email and never recorded
  • Different consultants quoting different rates to the same client
  • Rebates applied incorrectly after an early leaver

How Charta helps

Charta keeps client agreements and rate cards in one place, warns before expiry and flags any placement that breaks the agreed terms.
