4. How we use your data and our lawful basis
Under UK GDPR we must have a lawful basis for each use of personal data:

- To answer your questions and keep a record of our correspondence - legitimate interests
- To send you information you have asked for about our products - legitimate interests; we will always give you a simple way to opt out
- To understand how our website is used and improve it using analytics cookies - consent, which you can withdraw at any time

Where we rely on legitimate interests, we have considered your rights and expectations and believe our use is proportionate. You can ask us for more detail and you have the right to object (see section 9).
You are not required by law or contract to give us your personal data. If you do not provide your contact details, we will not be able to respond to your demo request.
5. Who we share your data with
We do not sell your personal data. We share it only with trusted service providers who process it on our behalf and under our instructions, under written contracts that protect your data:
- Website hosting and form handling: Netlify, which hosts reckiapp.io and receives demo request submissions
- Email and business software we use to communicate with you and manage our business
- Analytics providers, if analytics are enabled: Cloudflare Web Analytics (cookieless) and/or Google Analytics (only with your consent)
We may also disclose personal data if required by law, to protect our rights, or as part of a sale or restructuring of our business, in which case the recipient would be bound by this policy.
6. International transfers
Some of our service providers are based outside the UK, including in the United States. Where your personal data is transferred outside the UK, we make sure it is protected by an appropriate safeguard recognised under UK data protection law, such as a UK adequacy regulation (including the UK Extension to the EU-US Data Privacy Framework where the provider is certified), the International Data Transfer Agreement, or the International Data Transfer Addendum to the EU standard contractual clauses. You can contact our Data Protection Lead for more information.
7. How long we keep your data
We keep personal data only for as long as we need it for the purposes above:
- Demo requests and enquiries that do not lead to a business relationship: up to 24 months after our last contact with you, then deleted
- Correspondence with customers: for the length of our relationship and up to 6 years afterwards, to meet legal and accounting requirements and to deal with any claims
- Analytics data: retained in aggregated or anonymised form, or for no longer than the retention period set in the analytics provider (no more than 14 months for Google Analytics)
- Your cookie choice: stored in your browser until you change it or clear your browser storage
We review the data we hold regularly and delete or anonymise data we no longer need.
8. How we protect your data
We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS) across our website, access controls limiting who can see enquiry data, and contracts requiring our service providers to keep data secure. No method of transmission over the internet is completely secure, but we work to protect your data and will notify you and the Information Commissioner’s Office where the law requires us to.
9. Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your personal data (this policy)
- Access the personal data we hold about you
- Have inaccurate data corrected or incomplete data completed
- Have your data erased in certain circumstances
- Restrict how we use your data in certain circumstances
- Data portability, where we process data by automated means based on your consent or a contract
- Object to our use of your data where we rely on legitimate interests, and to object at any time to direct marketing
- Withdraw your consent at any time, where we rely on consent, without affecting processing carried out before you withdrew it
To use any of these rights, contact our Data Protection Lead at hello@reckiapp.com. We will respond within one month, which may be extended in limited circumstances; we will tell you if this applies. We may need to confirm your identity before responding. There is normally no charge.
We do not make decisions about you based solely on automated processing, including profiling, that have legal or similarly significant effects.
10. Complaints
If you have concerns about how we use your personal data, please contact our Data Protection Lead first at hello@reckiapp.com so we can try to put things right.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection: ico.org.uk, or by telephone on 0303 123 1113.
11. Cookies and similar technologies
Cookies are small files stored on your device. Under PECR we only use cookies and similar storage that are not strictly necessary if you consent. When analytics cookies are enabled, our cookie banner lets you accept or reject them, and you can change your choice at any time using the Cookie settings link in the footer of every page.
The cookies and browser storage we may use:
- rk-consent (browser local storage, strictly necessary): remembers whether you accepted or rejected analytics cookies, so we do not ask again; kept until you clear it
- _ga and _ga_<ID> (Google Analytics cookies, analytics, only set if you accept): distinguish visitors and sessions to measure site usage; expire after up to 2 years
- Cloudflare Web Analytics (if enabled): cookieless and does not store information on your device
- Live product demos (browser local storage, functional): the interactive demos run in your browser with sample data and may remember simple preferences, such as a layout you chose; no personal data is sent to us from the demos
You can also block or delete cookies through your browser settings. Blocking strictly necessary storage may mean we ask for your cookie choice again on each visit.

Our website may link to other websites, such as Salesforce or Bullhorn. We are not responsible for their privacy practices, so please read their policies.
13. Changes to this policy
We may update this policy to reflect changes to our website, services or the law. The latest version will always be on this page, with the date it was last updated at the top. If we make significant changes, we will take reasonable steps to let you know.
