Managing candidate documents in Salesforce

CVs, passports, certificates, references and timesheets pile up on candidate records. When files and attachments are scattered, consultants waste time and risk sending the wrong version.

Keep everything on the record

Store documents against the candidate, placement or client they belong to, not in personal folders or inboxes. One place to look is the biggest time saver.

Name files consistently

Agree a simple naming pattern - for example, name, document type and date - so the right file is obvious at a glance.

Keep versions, not copies

When a CV or certificate is updated, upload a new version rather than a new file. You keep the history and avoid sending an old CV to a client.

Preview without downloading

Opening documents in the browser saves time and keeps sensitive files off local machines.

Tidy up regularly

Remove files you no longer need, in line with your retention policy.

How Vault helps

Vault shows files and attachments together on any record, newest first, with filters, search, inline preview and version history.

Frequently asked questions
